Sign In as Administrator

1
Open the Web Connection interface

From any browser on the same network, type the copier’s IP address into the address bar:

http://192.168.x.x/wcd/spa_main.html

If you don’t know the IP, press Utility → Device Information on the copier’s touch panel — the IP address is listed there.

2
Click “Administrator” in the left sidebar

On the Web Connection home page, click Administrator in the upper-left navigation panel to open the login prompt.

3
Enter the administrator password

Type the admin password and click Login. The factory default password is 12345678 if it has never been changed.

Navigate to the SMB Address Book

4
Go to Store Address → Address Book

In the left sidebar, click Store Address, then click Address Book.

5
Filter the list by SMB

In the Search from Function dropdown, select SMB and click Go. All existing scan-to-folder destinations will appear in the list.

Add a New Scan-to-Folder Destination

ℹ️

Editing an existing entry?

Select its row in the address book list and click Edit — then skip to Step 8 to test and save.

6
Click “New Registration”

This opens a blank destination form. Confirm the Function type is set to SMB.

7
Fill in the destination details

Complete all five fields:

Field What to enter
Name A friendly label shown on the copier panel — e.g., Reception Scans
Host Address The IP address or hostname of the target PC or server. Use IP for reliability.
File Path The share/subfolder name only — e.g., Scans or Shared\Incoming. Do not include leading backslashes.
User Name A Windows local or domain account with Write access to the folder
Password The password for that account

8
Click “Check Connection” to test before saving

A success message confirms the copier can reach the share with the provided credentials. If the test fails, refer to the Troubleshooting section below before saving.

9
Click OK / Save

The destination now appears in the SMB address book and is selectable from the copier’s touch panel under Scan → Address Book.

Scanning a Document to the Network Folder

10
Load your document

Use the automatic document feeder (ADF) for multi-page jobs, or place a single page face-down on the flatbed glass.

11
Tap Scan on the touch panel

From the home screen, tap Scan/Fax (or Scan, depending on your panel layout).

12
Select the destination from Address Book

Tap Address Book, find the SMB destination by name, and tap it to select it. The name will appear highlighted.

13
Adjust scan settings if needed

Tap Scan Settings to change resolution (default 200 dpi), color mode, file format (PDF, TIFF, JPEG), or filename prefix.

14
Press Start

Press the physical Start button. The copier scans and deposits the file directly into the network folder. A confirmation message appears on the panel when complete.

Troubleshooting Common Failures

⚠️

Windows updates can silently break SMB scanning.

Microsoft periodically disables legacy SMB protocols. If scanning stopped working after a Windows update, check the SMB version setting in Web Connection first.

Error / Symptom Likely Cause Fix
Connection test fails immediately Wrong IP, or host is offline Ping the host from another PC. Confirm the IP hasn’t changed. Use IP address instead of hostname.
Authentication error / login failed Wrong credentials or locked account Verify username and password on the PC. Use DOMAIN\username format for domain accounts. Check the account isn’t locked in Active Directory.
Connection fails after Windows update SMBv1 disabled by Windows In Web Connection, go to Network → SMB Settings and set the version to v2 or v3.
Connected but no file appears Insufficient share or NTFS permissions The account needs Write permission on both the Windows Share permissions and the folder’s NTFS Security tab — check both separately.
Path not found error Incorrect File Path in address book File Path should be the share/subfolder name only — e.g., Scans, not \\server\Scans.
Works intermittently DHCP IP change on destination PC Assign a static IP or DHCP reservation to the destination PC, then update the address book entry with the new IP.

Pro tip: Test connections from your desk, not the copier.

From Store Address → Address Book in Web Connection, select any SMB entry and click Check Connection to verify it’s still working — no walking required. Make a habit of doing this any time a password changes on a destination account.
