Job Summary
You will play a crucial role in keeping our office running smoothly. You will manage calendars, handle client inquiries, assist with bookkeeping, and help maintain our online presence. Key Responsibilities
- Commitment Tracking: Track internal and external commitments, proactively follow up on tasks, and ensure timely completion to meet firm and client expectations.
- Calendar & Scheduling: Coordinate appointments, meetings, and internal events for the team.
- Client Communication: Answer phone calls, respond to emails, and handle customer inquiries in a professional, friendly manner.
- Documentation & Records: Prepare and distribute correspondence, reports, and other documents; maintain accurate client files and firm documents.
- Bookkeeping Support: Perform data entry & bookkeeping tasks, ensuring accuracy and confidentiality.
- Online Presence: Manage firm social media and website updates to keep our digital content current.
- Office Organization: Keep the physical office tidy and organized.
- Special Projects: Provide administrative support for firm initiatives, events, or client projects as they arise.
- Customer Service: Welcome clients, ensuring a positive experience from the moment they make contact.
Requirements
- Friendly, professional demeanor
- Education: High school diploma or equivalent required; associate's or bachelor's degree a plus.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with QuickBooks or similar software preferred.
- Communication & Organization: Excellent verbal and written communication skills; strong attention to detail.
- Confidentiality & Discretion: Comfortable working with sensitive information and ensuring privacy.
- Reliability: Punctual, dependable, and able to maintain a consistent schedule.
Preferred Qualifications
- Familiarity with social media management and basic website editing (e.g., WordPress).
- Prior experience in an administrative or office management role, especially within a small team.
Schedule
- Full-Time or Part-Time: 20 to 40 hours per week, depending on candidate availability and firm needs.
- Fixed Schedule: Hours will remain consistent from week to week.
- Work Environment: Our office is professional yet relaxed. Standard business hours are Monday - Friday.
